Meeting Minutes for April 20, 2005

Action Items: 1) Carol to notify our prior insurance carrier in writing of our cancellation of the policy. 2) Bob to have HVAC service tech locate the "missing" filter during annual maintenance. 3) Julie to hold Salmon Bake lessons learned discussion within several weeks. 4) Carol to contact flooring supplier for estimate and to accept if it seems reasonable. 5) Carol and Dee to take action on bookmarks. 6) Carol to issue a check to the MCC for use of the MCC web-site. 7) All those interested in helping to plan a staff appreciation event, contact Joyce Rada. 8) Canopy component sorting gathering on 5/25, Carol to have canvas bags complete?? 9) Carol to notify the Sheriff of our 9/17 trunk/afghan raffle award date. 10) Gigi to contact LLGC about weeding our gardens prior to 6/19. 11) Julie is looking for ideas for improvements to the aesthetics of our entry way.

The meeting was called to order by President Brummond at 7:00PM. Minutes of the previous meeting were accepted as written.

Correspondence: Franciscan Health Systems invited us to a meeting in Gig Harbor on 4/26, and we were notified that we needed to send written notification of cancellation of our old insurance policy; Carol will handle this.

Treasurer's report: The treasurer's report was approved as corrected (on non-official copies) with the current date on the "balance as of this meeting" line.

Branch Manager's report: Children's Programming: The Summer Reading Club program this year is Dragons, Dreams & Daring Deeds! There are four KRL paid programs at each branch. Programs at the Manchester branch begin July 5th and run every other week through August 16th. We will be using some of the programming money to design some programs for the three weeks in between these paid programs. There will also be a Teen Movie (K)night on Wed. July 20th at 6:30 PM. I am hoping to pay some of the Mehndi artists that came to the library last year to come on that night and present a mini program on the history of Mehndi and then offer free tattoos (temporary!) to all who want them during the movie. Penny Jar Donator Dies: Lauri would like me to let you know that Jim Stokesberry (a longtime penny drive contributor and library user) passed away last weekend. Donation: Some cash was left at one of the computer terminals last July [2004] by an older man wearing a baseball cap. We put up a sign in both the foyer and above the computer stations requesting that we be contacted regarding anyone losing/leaving money. No one came forward. Since we have been unable to find the owner we would like to donate the money to the FOL. Facilities: #1 Kickstands put in on restroom doors & seat protectors installed in the men's restroom. Panels replaced on the magazine wracks turned out to be cheap pine boards so I have asked Leif to put the original panels back on. Still have to move the doorstop in the women's restroom so the door won't lock. #2 The new holds shelves should be installed on Monday. The old shelving units do not belong to KRL. Do the FOL have a use for them or do we want to sell them this weekend at the book & plant sale? (Yes, these are now for sale in the Library) #3 The entryway light switch near the entry needs replacing. Inquiring Minds Program: Please remind your neighbors and friends that the Tlingit Michelangelo program with Barry Herem will be Thursday, April 28th at 7:00 PM. ALSO: we could easily do another Inquiring Minds program in the fall. I have information on all the other programs. Salmon Bake information was sent via email to Seattle Times Summer Guide and confirmation was received. Winter Reading Coupons: Few have been redeemed as of yet. Teresa and I have said we would tally up at the end of the month. [She is now open again and yes she did break her leg while riding her motorcycle.] Strategic Planning Meeting ~ Wednesday, April 27th at 7:00 PM. Ellen Newberg will be here to discuss the future of the library. Attend and give your vision of what the library should be like by 2010. I will also be conducting three interviews. [This is a more extensive version of the simple questionnaire.]

Penny Jar report: There was no report this month.

Bookstore report: Carol has conducted an analysis of special book sales during the period of 2002-2005. In summary, she found consistent increases from year to year, but learned that August was not a strong month. Our book price increase of last year has resulted in an approximate doubling in income. We have had strong inflows of used books. Gigi suggested a strategy for those placing "new" books on our shelves; any romance or other little known books dated prior to 1990 should be discarded. Carol will be orchestrating the book sale on 4/23 in the absence of the Weixlers.

Facilities report: Bob is planning to replace the entry light switch on 4/21. The HVAC filters were cleaned by Bob and Joe last month. They suspect there is one remaining filter which they couldn't locate, and they will ask the service technician to point it out during the annual maintenance.

Old Business: The first item discussed was the disposition of the original "chicken coop" trunk. It was decided that as recognition of all of Bob Parks' support of the Library over the years, he would be a deserving recipient. Bob thanked all for the recognition. Julie said that she plans on holding a Salmon Bake lessons learned discussion within the next several weeks. Joe has contacted the flooring supplier and has passed the next action onto Carol who will contact the supplier to visit and make an estimate. Carol was given authorization to accept the estimate if it seems reasonable and have the linoleum flooring replaced. Carol and Dee still need to take action on the bookmarks. John said that the MCC discussed the matter of charging other groups to help offset the MCC's cost of hosting the web-site (www.manchesterwa.org) when used by other groups. The MCC has suggested that a donation would be gratefully accepted. Carol will issue a check to the MCC. Joyce is organizing a group to plan a staff appreciation event in the fall. All those interested in helping with the plan should contact Joyce. Julie is planning to hold our "canopy component congress" on May 25th (same day as our next meeting) to properly organize all the parts of the canopies. Based on our experience at the Plant/Book sale, this is sorely needed! It would be helpful to have all the canvas bags completed by then (Carol?). Carol said that all activities are well in hand for the Plant/Book sale on Saturday 4/23 (and what a success it was!) Our activities were scheduled to begin at 7AM on Saturday. Cash boxes were maintained for both the plants and books. Joyce handled raffle tickets and kept that cash separate from all other. "Sold" and "Still Shopping" signs were used to great advantage. The LLGC again purchased the left-over plants. Carol captured other "lessons learned" for future reference.

New Business: The Library meeting scheduled for 4/27 with Ellen Newberg, will focus on Strategic Planning for the future of the KRL library system. All are encouraged to attend. The Public Safety committee of the MCC is planning on having a Safety booth at the Salmon Bake. There will be representatives from Medic 7, a Fuel Depot fire truck, two individuals from the Fire Department discussing home safety inspections, and a group taking children's' fingerprints for identification (hosted by Ron Rada). Wanda requested that they be allowed to have some type of coupon to pay for their dinners that Wanda and Bud can give to some of the volunteers who help staff the exhibits. Carol had some samples pre-printed and it was agreed that these would work just fine. In order for Carol to give proper notification to the Sheriff of our next trunk/afghan raffle, we need to select a date. Saturday September 17th was chosen, with no specific event in mind at this time. The Salmon Bake on June 19th is our next big event, and as usual will require lots of pre-planning. Helen is the general chair of the Salmon Bake. Gigi said she would contact the LLGC about a garden weeding event prior to the Salmon Bake. Helen said her son would once again source the salmon and perform all the filleting. Helen said no action was required until next month. Bob requested that any of us who use the barricades make an effort to stack them neatly on the back side of the Library. After visiting the Poulsbo Library, Julie suggested that we might take a good look at how we might improve the appearance of our Library's entryway. Specifically the book-drop, air-conditioner, and garbage can are rather homely. Julie is taking ideas for a course of action.

Next meeting: Our next meeting will be held on Wednesday May 25.
