Meeting Minutes for September 28, 2005

Action Items:

1)    Carol to contact the building maintenance lady alerting her to the potential for the Library to be open on Mondays for six hours.

2)    Julie to write letter to KRL supporting the Monday hours for our branch.

3)    Dee to write a summary of the Summer Reads program for the Knights of Pythias.

4)    Julie to clarify Bob Parks intentions for future FOL involvement.

5)    Carol to pursue quote on plaque for “Whirlwind Moon” and the other garden signs.

6)    Carol to purchase three canopies.

7)    Julie to work with LLGC on a new agreement for gardens maintenance.

8)    John to work with Theresa Godfrey on Mama Java use of FOL canopies/tables/chairs.

 

The meeting was called to order by Chair Julie Brummond at 6:59PM.  Minutes of the previous meeting were accepted with one correction to the spelling of the word Pythias.  

 

Correspondence: We received newsletters from North Kitsap and East Bremerton Friends.  More significantly, KRL sent us a letter suggesting they are strongly considering adding to the hours of operation of the Manchester Branch and wanted our approval due to the likely increase in utility expenses.  The request for added hours was made this summer when the KRL staff came asking for input on how our branch operations could be improved.  The additional hours being considered would be on Monday with the branch being open for six hours.  Our only concern was potential scheduling of our building maintenance; Carol will contact the maintenance person, Donna.  Julie will write a letter to KRL expressing our support of the added hours.

 

Treasurer’s report: Carol reported a relatively quiet month as far as both expenditures and income.  She moved some funds out of checking and into the money market savings account and rolled funds into new CD’s.  Carol resolved the EIN discrepancy noted last month on our Kitsap Bank account.  Apparently there had been an assumption of no previous EIN number, when in fact there was one.  This issue is now resolved.  Two donations were received in memory of Doreen George and thank you notes have been sent.  It was also mentioned that the drawings were held on September 17th and the winner of the quilt was Joe Guariz and the winner of the Trunk was Phil Paquette. 

 

Branch Manager’s report:

Thank you for all your hard work on the grounds around the library. Staff and the public are noticing how great everything looks.

 

Programs:  Toddler Time and Preschool Story Hours resumed Tuesday, Sept. 13th.

 

October – A Gentle Halloween on October 29th, 11:00 to 3:00. [Join us for a day of gentle Halloween fun at the Manchester Library. Get in the “spirit” of Halloween with our favorite non-spook stories, games, crafts and treats. Come and have a “boo-tiful” time. Adult supervision is required. Costumes are welcome.] 

 

November 16th, 7:00 pm  - Inquiring Minds.  [Jill Johnson & Global Village Storytelling.]

 

March 30th, 2006 – Ladies Night Out. Three components. (KRL) Making “hands-on” beauty crafts. Go-Figure Stress reduction & meditation & (FOL) Nancy Stewart (Animal Crackers) Humorous Women’s Concert. 6:30 – 9:30.

 

Operation & Maintenance funding for additional day open.  Request by Ellen Newberg

 

Emergency Plans – KRL has asked every branch library to review plans for an emergency.  Smoke detectors tested.

 

Bird Houses - Greg Iverson volunteered to refurbish the birdhouses. Don’t become alarmed if they are missing for a few days.

 

Flag – Our flag has become tattered and torn. Via Phil P. I have asked VFW for a replacement.

 

Certificates of Appreciation from KRL to Helen Yahn and Bob Parks from August Board of Trustees Meeting.

 

Knights of Pyithias -  Norma Brady {and sell a huge pink lace cp hydrangea}

 

 

 

Penny Jar report: No report was available.

 

Bookstore report: Gigi reported regularly moving books from storage to the shelves.  The next special book sale is tentatively scheduled for Saturday November 12.  We have 80 boxes of miscellaneous books from a friend of Norma’s in storage at Carol’s.

 

Facilities Manager’s report: Facilities status was discussed by all.  Bill and Eric re-caulked the sinks.  Joe offered to clean the HVAC filters.  It was not clear whether Bob Parks will continue in the role of facilities manager/Director and this will be pursued by Julie.  A bid by Hank Tingley to install zinc strips on the roof and make ridge cap repairs was approved.  Joe reported that he will submit bids at the 10/10 Port meeting for installation of “Three-man rocks” along Main to the south of the gardens.  Joe reported that this has the approval of Dusty Wiley, the County traffic coordinator, provided the rocks are installed on our property and not on the right-of-way.

 

Old Business: Follow-up items from last month are as follows:

 

* Our gratitude to Bill Lounsbery for installing the blinds in the publications area; the task ended up being far more complicated than anyone imagined!

* Dee had the installation of the blinds for the skylights in the meeting room completed.

* The Port minutes/resolutions are now organized and available from the Library staff.

* Rich was able to find a “bargain” full size microwave oven at a garage sale and it is now in use by the staff.

* Carol is still pursuing a quote on cost of plaque with the story of “Whirlwind Moon” and will act on both ideas on the gardens signs.

* Joyce to investigated the cost of easy-assemble 10’X10’ canopies.  It was agreed to purchase three E-Z Up “Express II” 10’X10’ canopies from Harborfreight.com.  Carol will make the purchase.  These will be reserved exclusively for Library events.

* A response was received from LLGC on garden maintenance along with an offered donation to smooth over our relationship.  It was agreed to establish a new written contract with the LLGC to allow their use of our meeting room at no cost provided regular garden maintenance was provided on specific terms, with the agreement subject to regular review.  Julie will work out the specifics with the new President of LLGC and say that the donation is not required.

* The Salmon Bake planning meeting was held on 9/14.  It was decided to proceed with a Salmon Bake on Father’s Day 2006.  Areas of responsibility were identified as: Scheduling volunteers (Joyce), garbage, fish, drinks/ice, rest of food (set menu, get donations/shop and stage), t-shirts (carol), dry goods, bbq set-up/takedown, health permit, wood (rocky/eric), Publicity (flyers, signs, newspapers), Music/entertainment.  Day of the event: tables/chairs/canopies up, tables/chairs/canopies down, front table/sales, dishwashing, garbage, clean-up.  There will be an organizing meeting on January 21 at 10AM in the Library.

* Bill, Norma, and Carol will meet with the Knights of Pythias on a potential donation to the Summer Reads program.  The Knights have requested further description of the program prior to our presentation to them; Dee will provide in written form.

 

New Business: 

·         Theresa Godfrey of Mama Java is organizing a motorcycle “Poker Run” charity event to benefit the victims of Hurricane Katrina on Sunday October 16.  Up to 200 motorcyclists will be congregating in Manchester (possibly on Port property) from 9-Noon.  Theresa has asked to borrow two canopies, four tables and 20 folding chairs (tables & chairs requested after FOL meeting) during the event.  It was agreed to allow use of our canopies for charitable events provided we have an experienced person assembling the canopies and they are well cared-for.  The use of tables and chairs is still under discussion.  John will work with Theresa on specifics.

·         John Winslow requested use of 4-5 canopies for use during the Manchester Clean-Up Day on Saturday October 8th; this was approved.

·         A piano bench is being loaned for a special program at the library.

·         Carol is interested in adding overhead storage cabinets above the counter in the meeting room.  Any ideas would be appreciated.

 

Next meeting: Our strategic planning day is scheduled for Saturday 10/22 from 10-4PM. Send any agenda ideas to Carol for planning.

The next regular meeting will be Wednesday October 26th at 7:00PM in the Library meeting room.
